As the company continues to grow, there is an opportunity now exists for a Director Assistant & Administrative Assistant to join our team!

Job Description & Responsibilities:

  • Manage incoming requests (internal and external) and provide friendly, professional greetings and responses.
  • Answer, screen, forward incoming phone calls, and provide basic information when needed
  • Arrange, receive, sort, and distribute daily mail/deliveries/couriers
  • Monitor inventory and order office supplies/stationary
  • Coordinate maintenance and repair for office equipment and vehicles.
  • Manage meeting room and company vehicle bookings
  • Prepare refreshments for meetings
  • Ensure tidiness of the whole office
  • Undertake other administrative tasks as per request from management
  • Assisting Director with expense reports as needed, such as credit card reconciliation, cheque reconciliation and organizing Director receipts
  • Director calendar management back-up and support
  • Assisting with Director travel arrangements, including the creation of draft itineraries and travel options research
  • General administrative duties such as photocopying, mailing document management, and meeting preparation.
  • Taking meeting minutes and notes as required
  • General assistance with event logistics as required
  • Personal assistance, planning and execution of family vacations, birthdays, book personal appointments and other duties as required

Required Skills & Qualifications:

  • Professional communication skills, speak English and Mandarin both verbal and written
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Proficiency in MS Word, Excel, G-Suite and be good with technology in general.
  • Additional Assets if have experience with Google applications (Google Doc, Sheet, Calendar…) and Adobe Illustrator
  • Attention to detail and accuracy
  • Team player with the ability to work independently to meet deadlines, goals and objectives
  • Must have BC Class 5 Driver Licence

Job Type: Full-time
